Unable to select groups and users to apply permissions

In the Team Files app, you can define permissions for connected folders in the File Manager and select who can use Projects and Spaces in the Admin settings. A Team Files system user handles the information request to your instance. Jira and Confluence create this user when installing the Team Files app.

However, the information request will fail if your instance doesn’t allow new users to access the product or adds them, by default, to a group that doesn’t have the global permission to “Browse Users and Groups.”

In this instance, the system user is unable to get the users and groups list.

Fixing the issue

To fix this issue, you need to go to the Administration area of your instance by following these steps:

  1. Click the “Switch to…” menu on the top left corner;

  2. Select “Administration.”

  3. Find your instance in the list and click the [···] button;

  4. Click “Manage product access.”

If you don’t have access to the Administration area, contact your IT Admin.

For Confluence:

Make sure the option “New users have access to this product” is active. If it’s off, switch it and reinstall the Team Files app to create the system user correctly.

Also, check if the group “confluence-users” is the “Default access group”.

For Jira:

Make sure the option “New users have access to this product” is active. If it’s off, switch it and reinstall the Team Files app to create the system user correctly.

Also, check if the group “jira-software-users” is the “Default access group”. If you have another group as the default, please check that it has the global permission to “Browse Users and Groups”.

If you’re using other versions of Jira, the name of the group changes accordingly:
- Jira Service Management: jira-servicedesk-users
- Jira Work Management: jira-core-users
